Consignees Maintenance

This page is used to store the names,  addresses, and other related information of the consignees (and other delivery addresses) that you use. Consignees must be established on this screen before they may be used on a bill.

Screen Layout
The entire list of your consignees is displayed on the left side of the screen. This list may be sorted by any column. Click on the column title to reorder the list by that column. Consignee information is changed on the right side of the screen.

Adding a Consignee 
Press the Add button to add a new consignee. A new consignee will be established with "New" as its Consignee Number.

Consignee Number
Each consignee that you input must be assigned a unique consignee number (or I.D.). This number can be up to 10 characters long and may contain any character on the keyboard, except quotes ( ' or " ). Unless you use a large number of consignees, it is recommended to keep this field simple.

A recommended numbering scheme is one that uses that consignee's name for the number. For example, use "Joe" for "Joe's Automotive Supplies." This number is case sensitive, so "Joe" is not the same as "JOE."

Other Fields
Most of the fields on this page should be self-explanatory. The fields that may need further explanation are:

EMail
This is used to store the e-mail address of the consignee. Press the EMail button in front of the field to send an e-mail to the consignee.

Web
This is used to store the website address of the consignee. Press the Web button in front of the field to go to the consignee's website.

Notes
Press the Notes button to view and edit notes for the consignee. This information does not print anywhere and may be as many lines as you wish.

Special Instructions
Special instructions for this consignee will be added to the bill when the consignee has been added to the bill. If there are already special instructions present, the consignee's special instructions will not be added. Special instructions may be added to the consignee via the Look Up button. Simply select special instruction on the screen and close the screen.

Tax ID
This is used to store the tax i.d. information for printing on the customs forms.

COD Fee
If you normally prepay the COD fee for this consignee, then click the Prepaid button in this box. Otherwise, click the Collect button. It will automatically fill in this information on the bill so you don't forget it. (This information may be changed on a bill-by-bill basis on the bill itself.)

Freight Charges
If you normally prepay the freight for this consignee, then click the Prepaid button in this box. Otherwise, click the Collect, 3rd Party or Blank button. It will automatically fill in this information on the bill so you don't forget it. (This information may be changed on a bill-by-bill basis on the bill itself.)


Press the Save button to save your changes.

Editing a Consignee
Consignee information may be changed at any time. Simply locate the consignee in the list on the left and click on it in the list. Then, change the information on the right side of the screen as needed. Don't forget to press the Save button when you are finished.

Deleting a Consignee
A consignee may be deleted from the list as long as it is not being referenced by any of the bills in the system. To delete a consignee, locate the consignee in the list on the left and click on it. Then, press the Delete button . You will be asked to confirm the delete.

Copying a Consignee
Consignees may be copied (cloned) to a new consignee. The new record will have the same key with a different last character. To copy, position the list to the desired record. Then, press the Copy button . All fields will be copied to the new record.
